SSE Room Bookings

Find details on how to request and use Schulich School of Engineering–managed spaces for meetings, events, and academic activities.

Schulich School of Engineering–managed rooms may be booked up to three (3) months in advance of the meeting date. Recurring bookings (weekly, bi-weekly, or monthly) are not permitted. Booking requests are typically processed within 2–4 business days.

For full-service events, please contact the University of Calgary Conference and Events Services for support and booking assistance.

Standard Booking Process

Submit a request

All requests must be submitted via the webform or a calendar booking request.

Review and confirmation

Requests are reviewed for availability, alignment with the space, and to determine if AV or room training is required.

Confirmation notice

Once approved, a confirmation email is sent outlining booking details, access instructions, and any additional requirements.

Room Use Guidelines

These rooms are intended for professional meetings and activities and are not suitable for social events, student meetings, workshops, or external gatherings.

To ensure a smooth experience for all users, rooms are often booked back-to-back and do not include post-event caretaking. Please return the room to its original setup immediately after use, wipe down tables, remove any catering, and power down AV equipment.

If additional cleaning is required, a Facilities Service Request may be submitted, with associated costs billed to the organizer. Please ensure doors are closed after use so access remains restricted to authorized users.

Room Access
Key cards can be picked up at the Dean’s Office (ENC 101) between 8:30 a.m. and 4:30 p.m. (closed 12:00–1:00 p.m.).

Frequently Asked Questions (FAQ)

No, external groups with no campus affiliation are not eligible to book SSE-managed rooms and will be referred to Conference & Events.  

Event organizers must review the University of Calgary Risk Management and Insurance requirements to determine if registration is required.
